The system allows users to create purchase orders and invoices under a variety of EDI formats for several trading partners which can then be sent electronically. These files are formatted under UCS standards for various EDI PO, Invoice and acknowledgement transactions as well as custom software as directed by your trading partner.
The system EDI features allow you to:
Although we have simplified the process a great deal, EDI processing can be a very complex concept. Implementation should be planned well in advance to make sure the requirements of your trading partner are fully researched and understood so that the system can be properly configured to meet their requirements and the EDI Transaction properly tested.
Configuration
A word about creating vs. sending EDI transactions
The first step to understanding EDI is to recognize the difference between creating an EDI transaction and sending the transaction to your trading partner.
Companies have always had the option of creating EDI transactions by subscribing to expensive, third-party, web-based interfaces that require transactions to be re-entered outside of the system. Net•Yield, however, provides the ability to seamlessly create an EDI transaction internally – without the need to re-enter data or pay a third-party service for the creation of the EDI file in the proper format for the trading partner. .
Sending transactions: There are a number of ways to send a transaction to a trading partner once it has been created in the system and placed automatically into the EDI – Outbox folder. The methodology will depend upon the transport mechanism that has been arranged with your trading partner, intermediary transfer company, or VAN. For example, SuperStore A may require EDI transactions to be sent as attachments to email. In this case an email contact should be created in your email client software. The EDI transactions for that day (from your EDI Outbox folder) should then be attached to the email and sent to Super Store A or their designated agent at a specified address. Many larger companies are now requiring that transactions be sent via a more secure methodology which uses client software on your computer to automatically pick up and send the transaction. (For details about sending EDI transactions, see EDI Outbox Processing.)
Receiving Transactions: There are a number of ways to receive a transaction from a trading partner – via your email client or a secure transport agent. Once a properly formatted transaction has been placed into the EDI – Inbox folder it becomes available to the system to be processed. (For details about receiving transactions, see EDI Inbox Processing.)
In addition, acknowledgements can be created, transactions can be batched together, and transactions can be re-Issued.
Net•Yield handles the conversion of the trading partner's electronic transaction so it can be processed in Net•Yield and creates the electronic documents in their specific version but does not handle the transfer of the files to and from your trading partner. The transfer of the data is handled through third party software installed on your computer or by using third party EDI VANs.
Notes about processing various types of transactions:
1. Creating an EDI Invoice: For customers associated with an EDI trading partner, the act of posting invoices to accounts receivable will immediately create an EDI Invoice file and place it in the appropriate EDI Outbox directory for your company (\Data\Your Company\EDI Outbox). If the trading partner is set to batch process, the file will be created automatically during the Close End of Day process or manually from the EDI Transaction Batching menu option.
2. Creating an EDI Purchase Order: When a product purchase order is entered for any vendor associated with an EDI Trading Partner, you will be asked to create an EDI transmission file. The EDI file created will be placed in the appropriate EDI Outbox directory for your company (\data\your company\EDI Outbox) unless you have opted to batch process your transactions.
